• You can import files in these Formats into all 1099 Pro products
    • Excel
    • TAB delimited
    • CSV (Comma Separated Values, quotes recommended)
    • Fixed length files can only be imported by the Corporate Suite
    • Note: If you have an IRS 1220 file you can convert it into a importable file(s) with the EfileViewer Product V-19-X


  • Make the first row or record in your import file a "Header" row where the Heading describes the data in that field/column.
    • Copy & paste the Headers found this XLS file to the appropriate column. If your column Headers match ours then you can use the build in Excel maps in the software to import.

    • Notes:
      • You do not have to use all of our Import Fields. For example if you are using just Box 7 then you don't need Boxes 1 -6 or Box 8 …
      • The order of your fields does not matter
      • Since your import file doesn't have all of the fields found in our xls Headers you may get a warning that your import file does not contain all of the fields/columns that were originally mapped. See the list on the right side for details of fields that were not included in the import
      • If your name fields are one field then use the "Last Name/Company" field as shown above. If you have first names as well then put the first name in the "First Name" field but always make sure you have data in the "Last Name/Company" field
      • Not shown in the XLS templates. You can use the field "Comb City/State/Zip" if these fields are all one field. Be sure to not use the headings City, State & Zip if this is the case or your import will fail.


  • Excel - Pros & Cons
    • When importing form Excel be sure to check if Excel dropped any leading zeros for a SSN e.g. 012345678 or a Zip code e.g. 04152 If Excel drops your leading zeros consider saving the file as TAB delimited. (File, Save As, Text (Tab delimited) (*.txt))
    • When importing from Excel be sure to close Excel completely, note only the first tab of a workbook will be imported as the other workbooks will be ignored
    • If your computer cannot open Excel worksheets or the software has a problem opening the xls / xlsx file on import then save a copy of the file as a .Tab file and import the .Tab copy using the Excel map.


  • Creating your own Map
    • Creating your own import map - use our Header fields and then you can map using the "Map by Name" feature, you don't have to use all of our fields just the ones you need, you can have extra fields in the file that you do not import, the order of your fields doesn't matter.
    • If you use our Headers found in the folder 1099Pro/Pro99T19/Import/XLS Data Shells then you can use Auto Map Feature when mapping your own


  • Tips
    • We highly recommend that you import Account numbers as it makes corrections much easier if required. If you cannot import account numbers then after importing click on Utilities, Generate Account Numbers.
    • Form Category, Form Source and Batch ID are three extra 12 character fields that do not print on forms but you can see the values and use them for sorting or filtering purposes

    • It's easier to corrrect & update forms after you have completed the import process. When you go to "Work with my Tax Forms" records with warning or errors will have * prepended to the status indicating that there is an error. For Example *Pending


  • Field Lengths
    • Dollar amounts can be up to 9 Billion e.g. 1,234,567,890.12 Note: Negative numbers will be rejected except for 1099-B and 1099-OID forms for some boxes
    • Name & Address fields can be 40 characters total. Note where applicable fields are appended together for example First & Last name and this is subject to the 40 char limit
    • City is limited to 21 characters
    • Check boxes can be X or 1 to check
    • The IRS limits account numbers to 20 characters
    • Form Category, Form Source and Batch ID are 12 character fields
